Golden Lotus B.V. respects the privacy of its customers and business relations. This Privacy Statement explains what personal data we process, why we use it and with which parties information may be shared when necessary.

1. What information do we process?

When you request a quotation, place an order or become our customer, we may process:

  • Name and/or company name;
  • Address and delivery address;
  • Email address;
  • Telephone number;
  • Information relating to quotations, orders and invoices;
  • For business customers, where applicable: Chamber of Commerce (KvK) number and VAT identification number.

We only process information that is necessary for our services and business administration.

2. Why do we use your information?

We use personal data for purposes including:

  • Preparing and sending quotations;
  • Processing and fulfilling orders;
  • Preparing and sending invoices;
  • Communicating about orders, deliveries and work;
  • Arranging and coordinating deliveries and transportation;
  • Arranging and carrying out flooring installation and fitting services;
  • Maintaining our financial and legally required administration.

We process this information where necessary to perform a contract, to take steps at your request before entering into a contract, and where applicable to comply with our legal obligations.

3. Suppliers and logistics partners

For certain orders, we work with suppliers of flooring and related products.

Where necessary for processing or delivering your order, we may provide relevant personal information, such as your name, delivery address, telephone number and/or email address, to the relevant supplier.

The supplier may process this information within its own order and administration systems and, where necessary for delivery, provide the relevant information to a carrier or logistics service provider.

We only share personal data that is reasonably necessary for the processing, administration, delivery and coordination of the relevant order.

4. Installation and fitting services

Where we work with an installation company, fitting company or independent installer to carry out work relating to your order, we may provide the necessary contact and address information to that party.

This allows the installer or installation company to contact you, arrange an appointment, prepare the work and carry out the agreed services at your location.

We only provide information that is necessary for coordinating and carrying out the relevant work.

5. Moneybird

We use Moneybird for our financial administration and for preparing and processing documents including quotations and invoices.

Personal information such as your name, address, email address, telephone number and information relating to quotations and invoices may therefore be processed through Moneybird.

Moneybird processes this personal data on our behalf as a data processor.

6. Email

We use Hostinger services for our business email communication.

When you contact us by email, or when we communicate with you regarding a quotation, order, delivery, invoice or work, your name, email address and other information contained in the relevant correspondence may be processed through our email environment.

7. Retention

We do not retain personal data longer than necessary for the purposes for which it was collected.

Information forming part of our financial or tax administration is retained for the statutory retention period applicable to our business.

8. Security

We take appropriate measures to protect personal data against loss, unauthorised access, misuse or unwanted disclosure.

Access to personal data is limited to persons and parties who require the information to perform their work.

9. Your privacy rights

Under the GDPR, you have various rights regarding your personal data. You may, among other things, request access to or correction of your personal data and, where legally applicable, request its deletion.

You may also have the right to object to certain processing or request restriction of processing where provided by the GDPR.
